Reports

See house-account liability as of any date, every top-up and charge, staff adjustments, and pass adoption over time — and export any report to Excel or CSV for your accountant.

Reports brings your house-account figures and pass adoption together in one place. Every report can be exported to Excel or CSV with the filters you've chosen, so you can hand your accountant exactly what's on screen.

Reports are available to club admins only. Editors and viewers don't see them.

Dates and times

Reports use your club's timezone — set it in Settings → Club. A day runs from midnight to midnight in that timezone, so a sale at 11

pm on the 31st counts in that month.

Pick a period from the list — this month, last month, this or last quarter, year to date, last year, the last 30 or 90 days — or choose Custom range and enter your own dates. A saved link to "This month" always shows the current month.

House account liability

What the club holds for golfers, and what golfers owe, at the end of a chosen day:

  • Owed to golfers — the total of positive balances (prepaid money). This is a liability for the club.
  • Owed by golfers — the total of negative balances on charge accounts. This is money owed to the club.
  • Net balance held — the first minus the second.

Choose any past date under As of to see balances as they were at the end of that day — useful for closing a month after it's over. The table lists every golfer with a balance, largest first. Golfers you've deleted stay in the list while they still carry a balance.

When the date is today, you'll also see pending POS top-ups: top-ups rung up at the till where the sale hasn't been paid yet. They're not in anyone's balance until it is.

House account activity

Every top-up, charge, adjustment and reversal in a period, with a roll-forward:

Opening balance + top-ups − charges ± adjustments ± reversals = closing balance

A green check confirms the figures reconcile. Below that, a chart shows money added and spent over the period, a table breaks the totals down by type and source (dashboard, Retail POS, Restaurant POS), and the transaction list can be filtered by type and source.

Adjustments

Manual balance changes made from a golfer's player page. See totals credited and debited, a breakdown by staff member, and every adjustment with its reason. Tick Include POS reversals to add charges the POS reversed.

Passes

How many passes were issued, added to Apple Wallet or Google Wallet, and removed in a period, with a chart over time and the current install rate for each player type. A pass added on two devices counts once.

Google Wallet saves are recorded as they happen. Saves from before reports were introduced are counted on an estimated date.

Exporting

Choose Export at the top of any report:

  • Excel (.xlsx) — a Summary sheet (club, period, timezone, headline figures and, for activity, the roll-forward) and a Data sheet with formatted amounts, a filter on every column, and a totals row.
  • CSV — plain rows for importing into accounting software. Amounts are plain numbers such as -12.50; the currency and timezone are in the column headers.

An export can hold up to 100,000 rows. For more than that, export a shorter period at a time.
